Balance Change Emails
Store Credit can email a customer every time their balance moves, with one template for credit arriving and another for credit being spent. Both are ordinary Magento transactional emails, so they are translatable, overridable per store view, and previewable from the admin.
The Two Emails
Store Credit Received goes out when a balance increases. In practice that means a refund landed on the balance, an admin user credited the customer, a canceled order returned credit, or something was converted into credit such as a gift card. Its subject is "You have received store credit" and the body leads with the amount that arrived and the new balance.
Store Credit Spent goes out when a balance decreases: the customer paid with credit at checkout, or an admin user subtracted credit. Its subject is "You have used store credit" and the body states the amount used and the balance that is left.
Both emails carry the same four variables:
| Variable | Contents |
|---|---|
customer_name |
The customer's first and last name. |
change_amount |
The absolute amount that moved, formatted as a price in the store's currency. |
new_balance |
The balance after the change, formatted as a price. |
reason |
The external reason, if the ledger entry has one. The body only renders the reason line when it is filled in. |
Only the External Reason Is Sent
A ledger entry can carry an internal reason written for colleagues and an external reason written for the customer. These emails receive the external reason only. An internal note such as "goodwill after support ticket 4412" never reaches the customer, so admin users can be candid in the internal field.
When an Email Is Actually Sent
Three things all have to line up before a message goes out, which is what makes it possible to correct a balance without announcing it.
- The master switch is on.
Send Balance Change Emailsmust beYesfor the website. - The direction is enabled.
Notify When Store Credit Is Receivedcovers increases,Notify When Store Credit Is Spentcovers decreases. Either can be off on its own. - The ledger entry is marked as notifiable. Every entry records whether the customer should be told. Order placement sets this from the spend notification setting, and an admin adjustment sets it from the Notify Customer checkbox on the adjustment form.
That third condition is the one worth remembering: an admin user can leave Notify Customer unchecked to fix a balance quietly, even with both config switches on.
Sending happens after the balance change has been committed, so an email failure can never roll back a credit or a spend. If sending fails, the failure is logged and the ledger entry stands.
Sending Yourself a Copy
Send Balance Change Email Copy To takes a comma-separated list of addresses that receive every store credit notification, which is a straightforward way to give a finance mailbox a record of credit going out the door. Send Balance Change Email Copy Method decides whether those copies ride along as Bcc on the customer's email or arrive as a separate message.
Customizing the Templates
Both templates can be replaced without touching code. Create a new template under Marketing → Communications → Email Templates, load Store Credit Received or Store Credit Spent as the starting point, then select your version in the matching setting under Stores → Settings → Configuration → Hyvä Commerce → Store Credit. The four variables above are available in your version too.
